Privacy Policy

whhc.uk is provided by West Hampstead Hockey Club also referred to as WHHC.

The club has appointed a Data Protection Officer (DPO) to manage its obligations under data protection law and this person should be contacted with any questions or concerns you may have. Contact details can be found below.

What data we collect

Personal Data

The personal data we collect from you may include:

  • your email address and subscription preferences when you sign up to our newsletter

  • your personal details submitted by forms on the site.

  • your Internet Protocol (IP) address, and details of which version of web browser you used

  • information on how you use the site, using cookies and page tagging techniques

Analytics

We use the Google Analytics service to collect information about how you use the site. The data is anonymised before being used.

This information includes:

  • the pages you visit on whhc.uk

  • the duration of time you spend on each page

  • what interactions you have whilst visiting the site; e.g clicks

  • how you arrive at the site

We will not identify you through analytics information or combine this information with other data sets.

Payment information

We use the following external vendors for the processing of payments:

Details of the vendor used for any payment will clearly be shown forms where we are taking or scheduling a payment. The club will not store your bank account or card details, but they may pass through the club's systems.

Why we need your data

We collect information through Google Analytics to see how you use the site and government digital services. We do this to help:

  • make sure the site is meeting the needs of its users

  • track success of advertisements and newsletter announcements

  • make improvements, for example improving search or identifying errors

  • monitor use of the site to identify security threats

We collect personal and payment data to:

  • allow users to obtain and pay for club membership

  • register and pay for events or merchandise provided by the club

  • send email alerts to users who request them

  • provide you with information about the club and sport

What we do with your data

The data we collect may be shared with other hockey entities. It may also be shared with our technology suppliers.

How long we keep your data

We will only retain your personal data for as long as:

  • it is needed for the purposes set out in this document

  • the law requires us to

For users who are not members we will keep your personal data for no longer than 90 days. For members we will keep your data for the duration of your membership followed by an additional 90 days.

Children’s privacy protection

Our services are not designed for, or intentionally targeted at, children 13 years of age or younger. We do not intentionally collect or maintain data about anyone under the age of 13.

Where your data is processed and stored

Our systems are designed, built and run to make sure that your data is as safe as possible; when it is being processed, transferred and stored.

Personal data is stored in the European Economic Area (EEA). Data collected may be transferred and processed outside of this area.

How we protect your data and keep it secure

The club is committed to keeping your data secure. We have set up systems to prevent unauthorised access or disclosure of your data.

This includes but is not limited to:

  • access to data is on the principle of least privilege

  • data sets are stored separately from each other

  • the minimum amount of data stored to provide each intended service or function

  • we use encryption to store sensitive data

Your rights

You have the right to request:

  • information about how your personal data is processed

  • a copy of that personal data

  • that anything inaccurate in your personal data is corrected immediately

You can also:

  • raise an objection about how your personal data is processed

  • request that your personal data is erased if there is no longer a justification for it

  • ask that the processing of your personal data is restricted in certain circumstances
